Sage to Odoo Migration: A Guide for Canada and the US

Sage-to-Odoo migration means moving agreed business data and workflows from your current Sage product into Odoo, then checking that the new system supports daily operations and reconciles to the source records. It is more than a file import: the project needs a clear scope, a trial migration, user testing and an agreed switch-over date.

For Canadian and US businesses, the starting point is the exact Sage product and country edition you use. A Sage 50 accounting setup and a Sage 300 operation with inventory, multiple entities and integrations need different migration plans.

Trewac Forge is a Toronto-based Odoo partner supporting businesses across Canada and the United States. We help teams assess the move, plan implementation and recover projects that have stalled. Discuss your Sage-to-Odoo migration.

Is moving from Sage to Odoo the right decision?

Start with the operational problem you want to solve. Perhaps staff re-enter sales orders, inventory sits in separate spreadsheets, or your warehouse cannot see the same information as finance. Write down the specific handoffs that fail today and test how they would work in Odoo.

Moving platforms deserves a business case. Compare the cost of improving your existing Sage setup with the cost of migration, Odoo subscriptions, hosting, integrations, training and ongoing support. If Sage already meets your requirements, replacing it may not be the best use of your budget.

For a manufacturer, a useful demonstration follows an order through purchasing, production, delivery and invoicing. For a rental company, follow a booking through availability, collection, return, charges and payment. Use your own examples and exceptions when evaluating either system.

Which Sage product are you migrating from?

Sage is a product family. Its Canadian product directory lists distinct products including Sage 50, Sage 300 and Sage Intacct. Confirm the full product name, edition, version, hosting arrangement and connected applications before requesting a migration quote.

Sage 50 to Odoo

Identify whether you use the Canadian or US edition and list the records you can export. Review customers, suppliers, products, account codes, outstanding invoices and bills, and the reports finance needs to keep. Include inventory and payroll dependencies in the assessment where applicable.

Do not assume that an export template prepared for another country edition or version will match your data. Test a small sample from your own installation first.

Sage 300 to Odoo

Map the modules and companies actually in use, including any add-ons. Agree how account structures, currencies, warehouses, order processing and reporting should work in Odoo. Treat custom reports and integrations as separate deliverables with their own acceptance checks.

Sage Intacct to Odoo

Begin with finance and reporting requirements. Examine the dimensions, entities, approval paths and reports your team relies on. Demonstrate how those requirements would be represented in Odoo before approving a replacement. An accounting-led evaluation is particularly valuable when operational improvements are the main reason for considering a move.

If you use Sage X3, Sage 100, or a construction-specific Sage product, identify it explicitly. A plan written for Sage 50 should not be reused without assessing the different workflows and data structures.

What data should move into Odoo?

Agree a written migration register: what moves, who owns it, how it will be checked and what stays accessible in the old system or an archive.

  • Customers and suppliers: names, addresses, contact details, payment terms and unique identifiers.
  • Products and inventory: item codes, units of measure, warehouses, agreed stock quantities, and lots or serial numbers where required.
  • Finance: account mapping, approved opening balances, outstanding receivables and payables, and agreed supporting records.
  • Open operational work: sales orders, purchase orders, rental commitments or manufacturing work that must continue after switch-over.
  • Manufacturing data: bills of materials, routings and work-centre requirements, where these are within scope.
  • History and documents: the transactions, attachments and reports that users need in Odoo, alongside a plan for retained records.

Choose between bringing in detailed history and starting with agreed balances and open items. More history means more mapping, validation and exception handling. Have the finance team and relevant advisers approve the approach to reporting and retained records.

Odoo supports spreadsheet imports and uses External IDs to preserve relationships between imported records. Stable identifiers also help update records consistently on repeat imports. They do not replace reconciliation or a migration design. See Odoo's import and export documentation.

A practical Sage-to-Odoo migration process

1. Assess the current system

Document the Sage installation, exports, users, integrations and problems. Capture the reports and workflows the business needs on day one. Agree the first release and what can follow later.

2. Design the Odoo setup

Configure standard Odoo workflows first. Map source records to their destinations and document any transformation rules. Review proposed customizations against a concrete business requirement and their future maintenance cost.

3. Clean and trial the data

Resolve duplicate contacts, inconsistent product codes and missing relationships. Import a representative sample into a test environment, review exceptions and repeat the process before migrating the full agreed dataset.

4. Reconcile and test real work

Finance should compare the agreed balances and open items against Sage reports from the same cut-off. Operations should check stock by location and run real examples, including returns, credits and partial deliveries. Keep a record of differences and their resolution.

5. Rehearse the switch-over

Assign owners for the final export, data freeze, import, verification and decision to proceed. Define what happens if the checks fail. Test integrations in the right environment and confirm that the old and new systems will not both send invoices or process the same orders.

6. Launch and support the team

Train users by role, provide working instructions and agree how launch issues will be handled. Schedule the first reporting and finance review. The proposal should define support coverage, handover and responsibilities after go-live.

Planning for Canada and the United States

Confirm the companies, countries, currencies and reporting requirements before configuring accounting. Odoo provides country-specific fiscal localization packages; their availability and behavior depend on the version and installed modules. Review Odoo's fiscal localization documentation for the target setup.

For a Canadian business, include the applicable GST/HST and provincial tax scenarios in acceptance testing. For a US business, include the sales-tax scenarios and reporting requirements relevant to its operations. Cross-border businesses should also test their agreed currency and intercompany workflows.

Have your accountant approve the configuration and reconciliation results. Payroll, bank connections, payment providers and tax services each need their own compatibility check; an ERP migration does not automatically replace those systems.

How much does a Sage-to-Odoo migration cost?

Trewac Forge plans start at $4,000 per month. Your proposal confirms the included work, delivery capacity, support coverage and billing currency. The migration scope is agreed after reviewing your Sage setup, data and integrations.

A useful quote separates discovery, configuration, data migration, integrations, testing, training and support. Software subscriptions, hosting and third-party services should be stated separately so you can compare proposals on the same basis.

The largest scope decisions are usually how much history to move, how clean the source data is, how many companies and workflows are included, and which integrations must work at launch. Ask each provider to identify exclusions, customer responsibilities and acceptance criteria.

Trewac Forge uses AI assistance to reduce repetitive delivery work, alongside human review and workflow testing. We also start with standard Odoo where it fits. The aim is to spend the budget on a system your team can use and maintain. Any price comparison needs an equivalent scope; savings should not be assumed from the software name alone.

Request a scoped migration proposal. Tell us your Sage product, country edition, companies, users, connected systems and intended launch window.

What if the migration has already stalled?

Begin with an assessment of the existing Odoo database, source exports, mapping files, custom code and unresolved issues. Identify what can be retained and which gaps prevent the team from operating confidently. Agree the next measurable milestone before committing to more development.

Our Printgeek case study describes recovering an unfinished Odoo implementation. Our Parting Stone case study explains work to restore trust in Odoo data and operations. These are examples of our Odoo delivery and recovery work; they are not presented as Sage migration projects.

Sage-to-Odoo migration FAQs

Can Sage data be migrated to Odoo?

Yes, agreed data can be exported, mapped and imported, subject to the Sage product, available access and target Odoo setup. Test a representative sample before committing to the full migration scope.

Can we bring all our transaction history?

Detailed history may be included if it can be extracted and mapped reliably, but it needs its own scope and validation. An alternative is to migrate agreed opening balances and open items while retaining accessible historical records. Finance should approve the choice.

How long does migration take?

The timeline depends on data quality, company count, workflows, integrations and the availability of your team. Confirm dates after assessment and a trial migration. A generic four-week promise should not be treated as the timeline for every Sage migration.

Can we keep using Sage until go-live?

Usually the team can continue working in Sage during preparation and testing. The final migration still needs an agreed cut-off, a process for changes since the trial export and a decision about when each system stops accepting new transactions.

Does migrating mean recreating every customization?

No. Review each customization against the current business requirement. Keep what is essential, use standard Odoo where it fits and test any replacement before removing a workflow the team depends on.

Does Trewac Forge support Canadian and US businesses?

Yes. Trewac Forge is based in Toronto and supports Odoo implementation, integration, project recovery and ongoing work for businesses across Canada and the United States. Scope, delivery arrangements and support coverage are agreed for each engagement.
