Trewac Forge ("we", "us", "our") is an Odoo implementation partner. Our registered business contact is hello@trewac.com. This policy explains how we handle personal data collected through our website (trewacforge.com) and in connection with our services.

We collect information you provide and technical usage information from website tools. This includes:

• Contact form submissions — name, work email, optional phone number, company name, team size, and any message you include. We check email-domain DNS records to flag unreachable mail domains; this does not verify mailbox ownership.
• AI guide conversations — messages, voice transcripts and current form answers used to answer questions or help fill a form. The conversation is saved in this browser tab for up to 24 hours and can be cleared with Start over. Form drafts are submitted only when you click a Send button.
• ROI Calculator — work email address submitted to unlock results.
• Discovery call bookings — name, email, and any scheduling information.
• Usage data — page views, referral sources, device information and interaction data through our analytics tools. These tools may use cookies and browser identifiers.

We use collected data solely to:

• Respond to your enquiry or discovery call request.
• Send the ROI report you requested (one email only, unless you opt in to further communication).
• Improve our website and services using analytics and, with advertising measurement consent, measure which ads lead to enquiries.

We do not sell, rent, or trade your personal data to third parties.

We process your personal data on the following legal bases:

• Consent — when you submit a form or unlock the ROI report, you consent to us contacting you in relation to that request.
• Legitimate interests — to respond to business enquiries and improve our services.

Form submissions are stored in our CRM (Odoo), hosted on secure infrastructure. We apply appropriate technical and organisational measures to protect your data against unauthorised access, loss, or disclosure. We retain contact data for no longer than 2 years after last interaction, or until you request deletion.

We use the following third-party services, each governed by their own privacy policies:

• Odoo CRM — for storing contact and lead information.
• AI guide providers — Vapi and its configured AI and speech providers process chat messages, voice audio, transcripts and relevant form answers to run Maya. Audio recording is disabled in our voice configuration; providers may retain transcripts and processing logs under their own policies. Avoid sharing passwords or sensitive documents.

The website uses Google Tag Manager and Microsoft Clarity, and PostHog when configured. On the Odoo rescue page, OpenAI’s Measurement Pixel loads only after advertising measurement consent. It measures page views, form progress, booking-link clicks and successful enquiries. A booking-link click is not a confirmed appointment. If automatic advanced matching is enabled by the provider, supported contact information may be detected and hashed in the browser for matching; our event payloads do not include your name, email, company or enquiry text.

You have the right to:

• Access the personal data we hold about you.
• Request correction of inaccurate data.
• Request deletion of your data ("right to be forgotten").
• Withdraw consent at any time.
• Lodge a complaint with your local data protection authority.

The website stores interface and consent preferences and uses analytics cookies. With advertising measurement consent, the OpenAI Pixel uses an ad-click cookie (up to 30 days) and a browser-reference cookie (up to 365 days), subject to browser restrictions. Campaign labels are stored for the browser tab and saved with your enquiry so we can understand its source. Use Cookie settings on the rescue page to change your advertising choice. Declining or withdrawing advertising consent does not prevent submitting the form; withdrawal stops future ad measurement and removes its attribution cookies.

We may update this policy from time to time. Material changes will be noted by updating the "Last updated" date above. Continued use of our website after changes constitutes acceptance of the updated policy.
